01 / The concept

Built around how facilities actually operate.

Current project statusThe overall platform is in the concept stage, with work on employee scheduling already underway. The project’s working name is Asystent Dyrektora, meaning “Director’s Assistant” in English.

Childcare operators need to coordinate people, children’s attendance, meals, stock and administrative duties. For organisations with several facilities, a decision in one location can affect staffing, resources and costs elsewhere.

My vision is to connect these activities rather than leave each facility working with isolated information. An owner or director would be able to understand what is happening across the business, identify problems earlier and make informed decisions from one panel.

The platform is intended for individual facilities and larger organisations that move employees and supplies between locations. Poland is the initial market, with local administrative integrations and childcare requirements informing the first version. The longer-term ambition is international: the product is being designed to accommodate country-specific rules rather than remain limited to Poland.

I see an opportunity for a broader, integrated tool in this sector. Demographic pressure makes careful cost control increasingly relevant: the goal is to help operators use their resources effectively while supporting everyday responsibilities.

Development starts with scheduling. The other modules below are a proposed roadmap. They are not currently available products, and integrations remain planned.

01Work started

Staff scheduling & coverage

Coordinate employees who work across more than one facility, detect overlapping assignments and identify locations with insufficient staffing.

  • A shared schedule across locations, supporting organisations that regularly transfer employees between facilities.
  • Integration with electronic sick leave records from ZUS, Poland’s Social Insurance Institution, to flag changes affecting staffing.
  • Shift cost calculations to help owners compare staffing arrangements and their financial impact.
  • Connections to children’s attendance to help assess coverage against applicable Polish staffing requirements for children under three.
  • The scheduling design already accommodates the addition of labour-law rules for other countries, providing a foundation for international expansion.

Meals, inventory & purchasing

Connect meal planning and stock information across facilities, with a central warehouse and one person able to oversee the whole operation. Schools are an additional use case; nurseries and preschools remain the primary target.

For example, an employee’s absence could trigger a coverage check, while attendance information helps assess staffing needs and shift costs help compare alternatives. Similarly, menus and consumption records could inform purchasing suggestions across locations. These are intended workflows, to be validated during development.

03 / Growth & international ambition

Education at the core.
Room to grow beyond it.

Nurseries and preschools are the main target market. Primary schools are an additional opportunity, with a modular design intended to support other education segments and, over time, selected commercial sectors.

Connect with existing software

I am considering integrations with existing applications that calculate attendance and meal fees for nurseries and preschools. This could expand customer reach, reduce adoption friction and allow the platform to complement systems facilities already use.

School meals: a substantial daily operational need

Under Article 106a of Poland’s Education Law, public primary schools, excluding adult schools, must provide one hot meal daily and an opportunity to eat it. This also covers preschool children in school-based preschool units. Taking meals is voluntary and chargeable. Article 106 regulates canteen fees and possible exemptions.

The main opportunity is the recurring operational work behind that meal: planning menus, calculating ingredient requirements, coordinating purchases, recording available products and monitoring stock movements and consumption. Facilities preparing meals need to manage these tasks every day. An integrated menu-planning and inventory system could support that workflow and help reduce shortages, waste and manual administration.

Parent billing and payment reconciliation are the final administrative stage of this process. The product’s central value for schools would come earlier: helping the facility organise meal preparation and maintain a reliable record of the products it has available.

This recurring need opens a substantial additional market for the meals and inventory module. My preliminary planning estimate is approximately 15,000 potential school customers in Poland, to be validated. These schools supplement the core nursery and preschool market; the opportunity concerns facilities organising meal services, with the relevant workflow depending on whether they prepare meals internally or use external catering.

A common foundation for different sectors

Staff scheduling, inventory management and menu planning are needs shared by education providers and commercial organisations. The scheduling foundation uses labour-law rules, including Poland’s Labour Code, and is being structured to accept rules from other countries.

With appropriate adjustments and validation, I intend to offer relevant modules to businesses outside education — for example, catering companies needing menu planning, stock control and staff schedules. Some use cases may need only limited changes; the amount of adaptation will depend on each sector’s requirements.

Education will remain the core of the venture. As the company grows, a larger sales team could reach organisations in other industries using the same modular product foundation. The ambition is to make relevant modules useful across education and beyond, rather than limit the platform to one type of institution.

Poland first, then European expansion

I see substantial growth potential within Poland, both in the core market and in adjacent sectors. The next intended step is Central and Eastern Europe, where cultural proximity could make expansion more accessible. Western Europe would follow once the business has a larger team and greater operating capacity.

International expansion will require local language support, validated legal rules and suitable administrative integrations. The same country-adaptation approach is intended for the other modules, building on the scheduling foundation.

Daily value, recurring AI usage

Purchasing analysis, operational insights and support assistance could make AI part of customers’ daily workflows. As adoption grows, this could generate recurring API consumption and revenue for the AI infrastructure provider. That opportunity depends on actual customer usage and the economics of each feature; the product must deliver practical value at sustainable costs.

A focused start, then staged expansion.

I am currently developing this project as a solo founder. My priority is to establish a coherent foundation and validate the scheduling module before expanding the platform.

Use a shared architecture and clear interfaces. AI coding tools could assist with separate tasks in parallel, while I oversee coordination, review, testing and integration.

Add practical AI assistance

Evaluate purchasing recommendations, operational insights and natural-language queries. Monitor reliability and usage costs before wider adoption.

AI-assisted support & human review

I plan to use AI to help handle support requests: analyse a reported problem, gather relevant context and suggest a resolution. When a code change is appropriate, it could prepare a draft pull request for me or the development team to review and test before any release.

The planned company will include several people responsible for day-to-day tickets and customer contact. Their conversations with users will help identify unmet needs and guide further product development.

Responsible data use

The platform will involve employee and child-related records. The planned approach is to minimise what is shared with AI services, restrict access appropriately and use synthetic or anonymised data for early evaluation wherever possible. AI suggestions will support human decisions.

I also plan to use AI to help prepare scripts and materials for promotional and instructional videos. Development will include ongoing evaluation of reliability and operating costs.

I have five years of experience working with 4Parents, an education and childcare platform for public and private facilities across Poland. My work spans direct and online sales, customer training, on-site implementation and product development as a Product Manager.

The company also offers electronic admissions systems for nurseries, preschools and schools, sold to municipalities and county-level authorities. This has given me exposure to both individual facility needs and the requirements of larger public-sector customers.

Large-scale implementation in Warsaw

One of my major professional achievements was working on the implementation of a childcare fee-settlement application for Zespół Żłobków m.st. Warszawy, Warsaw’s municipal nursery organisation. The scale of this client gave me practical experience with the needs of a large network of childcare facilities.

The Warszawskie Żłobki application, based on the established 4Parents platform, received a Mobile Trends Awards 2025 award in the “Mobile in Everyday Life” category. This recognition relates to that existing application and implementation, which forms part of my professional experience; Asystent Dyrektora is a separate, new concept-stage project.

Experience beyond the original target market

I have seen education software find useful applications outside its initial segment. I sold a preschool fee-settlement application to a children’s home, where it was needed to support communication between residents. The same type of application was also used by a sports club to simplify parents’ payments for children’s activities.

These examples inform my approach to this new project: start with a well-understood core market, then identify where the same capabilities can solve similar problems for other organisations.

  • Sales: direct and online sales of education software.
  • Implementation: customer training and on-site application rollouts.
  • Product management: responsibility for application development as a Product Manager.

My insurance agency work also focuses mainly on the education sector. I sell liability insurance for directors and staff, as well as personal accident insurance for children in nurseries, preschools, primary schools and secondary schools. This provides an additional perspective on the responsibilities and risks faced by educational institutions.

4Parents has served public and private institutions across Poland since 2017. Its product scope and multi-site customer base provide the professional context for my education-sector experience and inform the operational problems I am addressing with Asystent Dyrektora.

What the application does

  • Fees & payments: childcare attendance, meals, additional activities and other charges; online collection from parents; automatic statutory and tax-related interest calculations; import of AWZ transfers from ZUS.
  • Registers & attendance: electronic and specialist registers, staff-recorded attendance and optional PIN or QR check-in/out identifying the person bringing or collecting a child.
  • Parent communication: individual and group chats, announcements, calendars, and a secure space for photos and files without a storage-capacity limit.
  • Mobile access: a free multilingual app for parents and staff, with absence reporting through the app or browser.
  • Data & feedback: imports of children’s records from admissions systems or Excel, advanced reporting, and surveys for staff and parents.
  • Multi-site oversight: an administrative panel aggregating information from multiple facilities.

An existing business.
A new product venture.

The history of my sole proprietorship and the development of this software project are distinct. The current business was originally established for insurance agency work, rather than for this platform.

    I registered my sole proprietorship to work as an insurance agent. It was temporarily suspended several times while I was working under employment contracts.

  2. August 2023 · Active B2B business

    The business has been active since August 2023 because I provide services to the company I currently work with on a business-to-business basis.

  3. Now · Concept-stage software project

    The integrated platform is a new project. Work on employee scheduling is already underway as the first component of the broader platform.

  4. Planned · A dedicated limited liability company

    My intention is to establish a separate Polish limited liability company (sp. z o.o.) specifically to develop this product and subsequently serve its customers. Given the responsibilities involved in operating the platform, I intend to use a dedicated corporate structure rather than run it through my sole proprietorship.

The dedicated company has not yet been established. This page describes the project’s current stage and intended direction. The broader platform, integrations, international rollout and support team remain development plans.

The longer-term ambition

Help childcare providers manage the whole business with clarity.

The aim is an international operating platform that connects the people, resources and finances behind childcare and education services, with relevant modules that can later serve commercial organisations too. The starting point is a specific staffing problem; the longer-term vision is one place from which an owner or director can oversee a facility or an entire network.
